Information We Collect

When you use the contact form on this website, we collect the information you voluntarily provide: your name, email address, budget range, project type, and message content. We also collect your IP address for spam prevention purposes.

How We Use Your Information

Your contact information is used solely to respond to your inquiry and discuss potential projects. We do not sell, rent, or share your personal information with third parties for marketing purposes.

Google reCAPTCHA

This site uses Google reCAPTCHA to protect contact form submissions from spam. reCAPTCHA is subject to Google's Privacy Policy and Terms of Service.

Cookies & Analytics

This website does not use tracking cookies or third-party analytics. Google Fonts are loaded externally for typography purposes.

Data Retention

Contact form submissions are stored in our secure database and retained for the duration of any business relationship or inquiry. You may request deletion of your data at any time by contacting us.

Subscription Accounts & Client Portal

When you sign up for a Care Plan or Website Subscription, we collect your name, email, business name (if provided), and payment details processed by Stripe. We do NOT store credit card numbers on our servers. We create a client portal account under your email address containing your subscription status, billing dates, work log, ticket history, and monthly reports.

Portal access is protected by a password you set on first login. You may optionally enable two-factor authentication (2FA) for additional security. If you enable 2FA, we store the shared secret and recovery codes needed to verify your logins. Session cookies expire after 7 days of inactivity.

Monthly Reports

Active subscribers receive monthly reports summarizing hours worked, tickets resolved, website performance data, and uptime status. To generate these reports, we periodically fetch data from Google PageSpeed Insights about your website URL. These reports are stored in your client portal indefinitely for your reference and are also emailed to your account email at the end of each billing cycle.

Support Tickets & Communications

When you submit a support request through the client portal, we store the subject, message content, priority level, and internal notes about how it was handled. This history is retained for the duration of your subscription and for 12 months after cancellation to support continuity and any warranty work.

Data Retention for Subscribers

Active subscription data is retained as long as your subscription is active. After cancellation, we retain payment records for 7 years for tax and legal purposes as required by law. Portal history, tickets, and reports are retained for 12 months after cancellation to support any warranty questions, then archived. You may request full deletion by emailing joe@medeirosj.com, subject to legal retention requirements for financial records.

Website Audit Tool

When you use our free website audit tool, we collect the URL you submit for analysis and optionally your name and email if provided. Audit results include SEO, performance, and technical scores along with detailed findings about the analyzed website. This data is stored in our database to allow you to return to your report and for us to follow up if you provided contact information. You can request deletion of your audit records at any time by emailing joe@medeirosj.com.

Template Shop & Payments

Purchases in our template shop are processed through Stripe, a third-party payment processor. We do not store your credit card details on our servers. Stripe collects payment information subject to their own privacy policy at stripe.com/privacy. We store your purchase records including email, template purchased, and download activity to enable customer support and download re-access. Downloadable products are delivered via email link and remain available for 30 days after purchase.

Consultation Booking (Calendly)

When you book a consultation through our booking page, Calendly collects your name, email, meeting details, and any answers you provide to intake questions. Calendly is a third-party service with its own privacy policy at calendly.com/privacy. We receive this information to schedule and conduct the consultation.

  • Google Analytics for website usage analytics
  • Google reCAPTCHA for spam prevention on forms
  • Google PageSpeed Insights API for website audit analysis
  • Stripe for payment processing
  • Calendly for consultation scheduling
  • PHPMailer via SMTP for transactional emails

Your Rights

You may request access to, correction of, or deletion of any personal data we hold about you. To exercise these rights, email joe@medeirosj.com with your request. We will respond within 30 days. Residents of California, the EU, and other regions with data protection laws have additional rights under applicable regulations.
